BargainAirTicket is an independent travel agency, we are not Southwest Airlines and are not affiliated with, endorsed by, or operated by Southwest Airlines. You can check your flight and rebook yourself at southwest.com or in the Southwest app at no cost. If you'd rather we handle the rebooking or refund, our agents assist for a service fee, quoted before you're charged.

Delayed or canceled on Southwest? Know what you're owed.

Southwest rebooks you on its next available flight at no charge. If the cause is within Southwest's control, a delay past 3 hours adds a meal voucher, and a hotel too if same-day rebooking isn't possible and it wasn't already an overnight layover. Weather and air-traffic-control delays don't qualify for either. On a 3+ hour domestic (6+ international) disruption, you can instead decline the rebooking for a full refund, extras included, and a separate federal DOT right sits on top of all of it. Here's how the pieces fit, and a live agent who can work your options while you're still at the gate.

First question: was the cause within Southwest's control, or was it weather / air traffic control?

Weather, air traffic control, or otherwise outside Southwest's control

You're still rebooked on Southwest's next available flight at no charge, and if the disruption runs 3+ hours domestic / 6+ hours international or Southwest cancels, you can still decline and take a full refund instead, but the complimentary meal voucher and hotel do not apply. Those are reserved for causes within Southwest's own control.

    Something within Southwest's control

Same rebooking on the next available flight, plus Southwest's Customer Service Plan kicks in: a meal voucher (or reimbursement) once the delay passes 3 hours, and lodging (or reimbursement) if same-day rebooking isn't possible and it wasn't already going to be an overnight layover, with a ground-transport voucher if the hotel has no shuttle.

Meal voucher or reimbursement (claim within 1 year) on a controllable delay of 3+ hours Hotel or reimbursement, controllable, overnight, and same-day rebooking isn't possible Ground-transport voucher to the hotel if it has no shuttle Full refund to your original payment (even nonrefundable fares) plus bag fees/extras, if you decline rebooking after a 3+/6+ hr disruption No complimentary hotel for weather or air-traffic-control delays, non-controllable causes are excluded DOT's ticket-price refund only fires if you DECLINE the rebooked flight, separate from Southwest's own plan, and doesn't cover extras

3+ hours domestic (6+ international) is the line that unlocks a refund if you decline rebooking, controllable or not.

That threshold sits underneath two separate rights: Southwest's own refund, which includes bag fees and other extras, and the federal DOT refund, which covers the ticket price only. The meal voucher and hotel are a different, narrower promise, they apply only when the cause was within Southwest's control. Both sets of rules can change, so we confirm what's current when you call.
What to do, minute by minute
The moment it's delayed or canceled

Don't wait in the airport line, at a busy Southwest focus city like Chicago Midway, Denver, Baltimore or Las Vegas, the next flight's open seats disappear fast once everyone on your plane starts rebooking at once. Call us right away.

Past 3 hours (or 6 hours international), or a cancellation

If it's within Southwest's control, you're due a meal voucher, plus a hotel if same-day rebooking isn't possible and it wasn't already an overnight layover. Weather and ATC delays won't qualify for either, so we'll tell you honestly what's realistic before you get your hopes up.

    Deciding rebook vs. refund

If the new schedule doesn't work, you can decline it for a full refund, including bag fees and extras, rather than accept whatever Southwest offers first. The good seats on the replacement flight go to whoever calls first, so decide fast.

What Southwest's Customer Service Plan actually provides

Southwest's own commitment, in plain English, separate from the federal DOT rule below.

If Southwest cancels or delays your flight:

You're rebooked on Southwest's next available flight at no charge. There's no set rebooking window published, how it plays out depends on what's still open on Southwest's own schedule, which is another reason to call the moment it happens rather than wait and see.

Meal voucher on a controllable delay:

If the disruption is within Southwest's control, not weather or air traffic control, and the delay passes 3 hours, Southwest provides a meal voucher or reimburses reasonable costs. Reimbursement requests must be made within 1 year of the disruption.

Hotel, but only under three conditions:

Lodging (or reimbursement) applies only if the cause was within Southwest's control, same-day rebooking isn't possible, and it wasn't already going to be an overnight layover anyway. Miss any one of those three and the hotel doesn't apply.

    Ground transport to the hotel:

If the hotel Southwest arranges has no shuttle, Southwest also covers a voucher for ground transportation to get you there.

Full refund if you decline rebooking:

On a delay of 3+ hours domestic / 6+ hours international, or a cancellation, you can decline the rebooked flight and get a full refund to your original payment method, even on a nonrefundable ticket, plus a refund of any bag fees or other extras you paid.

What voids the meal and hotel coverage:

Weather and air-traffic-control delays, and any other cause outside Southwest's control, aren't eligible for the complimentary meal voucher or hotel. The rebooking and refund rights above still apply regardless of cause.

DOT vs. Southwest, two things, don't confuse them

One is federal law; the other is Southwest's own Customer Service Plan. People mix them up and expect the wrong thing.

    US DOT, the law

    Ticket price

    • A significant change you decline → automatic refund of the ticket price to your original payment
    • Verified thresholds: 3+ hrs domestic, 6+ hrs international, a changed airport, added connections or a downgrade
    • Applies regardless of cause. Southwest cannot force you into a voucher instead
    • Does NOT require hotels, meals or compensation for lost time

    Southwest's Customer Service Plan

Rebooking, meal/hotel on controllable delays, refund with extras

    • Rebooking on the next available flight, no set rebooking window published
    • Controllable delay 3+ hrs → meal voucher; hotel too if same-day rebooking isn't possible and it wasn't already overnight
    • Refund on decline includes bag fees and other extras, DOT's ticket-price refund does not
    • Weather/ATC delays excluded from the meal voucher and hotel

Keep them separate in your head: Southwest's meal voucher, hotel and the extras included in its own refund all come from its Customer Service Plan, and the meal/hotel piece only applies when the cause is within Southwest's control. The DOT refund fires whenever YOU decline a significant change, regardless of who caused it, and it's cash to your ticket price only, never a hotel, meal or extras. You can compare airline plans at flightrights.gov, and these DOT rules are also under active revision, so we confirm what's current when you call.

Missed a Southwest connection? Here's what actually applies

A domestic example and an international one, both run on the same rebooking rule.

Say your Chicago Midway to Baltimore trip connects through Nashville and the inbound leg runs late, or you're routing Houston Hobby to San Juan and the same thing happens. Either way, Southwest rebooks you on its next available flight at no charge. If the misconnect traces back to a cause within Southwest's control and the resulting delay passes 3 hours, the meal voucher (and hotel, if same-day rebooking isn't possible and it wasn't already going to be an overnight stay) apply the same as any other controllable disruption.

Southwest's network is built point-to-point rather than around one or two mega-hubs, so a missed connection often has more than one workable reroute between the same two cities, but that only helps if you call before those alternate seats fill. The earlier we look, the more of Southwest's own inventory is still open.

Our own rule of thumb, not a Southwest rule: if your trip is headed onward internationally, say, on to Cancún, Nassau, or elsewhere Southwest flies in the Caribbean or Mexico, build in extra connection time at your Southwest transfer point. A misconnect there can affect entry-document timing and onward plans on top of the flight itself.

What a person can do that southwest.com and the app can't

This is the whole reason to call instead of tapping "rebook" and taking what the screen shows you.

See more of Southwest's schedule than the app surfaces:

Self-rebooking tools tend to show the most obvious next flight. A person can work through Southwest's own point-to-point routes to find one that actually fits your plans, not just the first one offered.

Work the controllable-vs-not question with you:

Whether a delay is Southwest's own fault or weather/ATC decides if the meal voucher and hotel apply. We know how Southwest classifies a disruption and how to ask, so you're not guessing at a kiosk at 11 p.m.

    Route backward from your deadline:

Tell us the time you absolutely must land by and we work Southwest's available inventory to find a routing that still makes it, not just the "next available" flight the screen defaults to.

Weigh rebook vs. refund with you:

Once you clear the 3+/6+ hour mark, declining for a refund, extras included, can beat a rebooking that doesn't actually work for your trip. We'll lay out both so you're deciding with full information, not guessing under pressure.

    Rescheduled and never told?

Silent schedule changes are more common than people realize.

Airlines routinely move flights weeks or months ahead, a "schedule change", and the notification email doesn't always land. Before you travel, check your trip on southwest.com or the Southwest app. If Southwest moved you to a time that no longer works, that can unlock the same refund rights as a delay or cancellation, but only if you catch it. Give us your confirmation number and we'll check your reservation for a change you were never told about.

Have this ready when you call

Thirty seconds of prep is the difference between the last seat and the next flight.

    • Confirmation number, the number and passenger names
    • What caused it, if you know, weather/ATC vs. something Southwest's own operation caused decides the meal and hotel coverage
    • Rebook or refund, and whether you paid for bags or other extras we should fold into a refund
    • Any hard deadline, a cruise, wedding or connection time we route backward from

Call while you're still in line. When a Southwest flight cancels, everyone on it starts rebooking at once, and the phone reaches an agent faster than a crowded gate counter, you can be confirmed on the next departure, and any meal, hotel or refund you're owed checked, before you'd even reach the front of the queue.

    Frequently asked

My Southwest flight was cancelled, what am I owed?+
Southwest rebooks you on its next available flight at no charge. If the cause was within Southwest's control and it ran 3 or more hours domestically (6+ internationally), you can instead decline the rebooking and take a full refund to your original payment method, even on a nonrefundable ticket, plus a refund of any bag fees or extras you paid. Call us and we'll work out which path gets you moving fastest.
Will Southwest put me up in a hotel or give me a meal voucher?+
Only when the delay or cancellation is within Southwest's control, not weather or air traffic control. Under Southwest's Customer Service Plan, a controllable delay of 3+ hours qualifies for a meal voucher or reimbursement, and lodging (or reimbursement) if same-day rebooking isn't possible and it wasn't already going to be an overnight layover. If the hotel has no shuttle, Southwest also covers ground transportation.
Can I just get a refund instead of rebooking?+
Yes, if the disruption is significant enough. On a delay of 3+ hours domestic (6+ international) or a cancellation, you can decline the rebooked flight and get a full refund to your original payment method, even on a nonrefundable fare, plus a refund of bag fees and other extras. You also have a separate US DOT right to a ticket-price refund if you decline a significant schedule change. We'll check which applies to your booking.
Is Southwest's Customer Service Plan the same as the DOT refund rule?+
No, keep them separate. Southwest's own Customer Service Plan is the airline's commitment: meal and hotel coverage on controllable delays, and a refund including extras on a significant disruption. The US DOT rule is federal law: if Southwest cancels or significantly changes your flight and you decline the alternative, you're owed the ticket price back to your original payment method, regardless of cause, but DOT doesn't touch hotels, meals or extras. That's Southwest's side of it.
What if my delay is because of weather or air traffic control?+
Southwest still rebooks you on its next available flight, but the meal voucher and complimentary hotel under the Customer Service Plan don't apply, those are reserved for delays and cancellations within Southwest's own control. Your refund rights on a 3+ hour domestic / 6+ hour international disruption, and the separate DOT refund if you decline the rebooking, generally still apply regardless of cause.
I missed my connection because of a Southwest delay, what now?+
Southwest rebooks you on its next available flight. Call us the moment it happens. Southwest's point-to-point network often has several routing options between major cities, and those seats go quickly once everyone on a cancelled or delayed flight starts calling in at once. Give us your confirmation number and we'll work your options immediately.
